Job Title: Home Health Agency Receptionist
Location: Sunnyvale, Texas
Job Type: Full-time 
Pay Rate: $18.00 per hour
Work Schedule: Monday to Friday, 9:00 AM – 5:00 PM

Position Overview:
We are seeking an experienced and detail-oriented Receptionist with a medical office background to join our Shalem Home Heathcare agency. You will serve as the first point of contact for patients, families, and healthcare providers while managing front-desk administration and record management. This role requires exceptional organizational skills, a deep understanding of medical office workflows, and a compassionate professional demeanor.

Key Responsibilities:

Front Desk & Client Relations
  • Greet visiting clinicians, patient families, and guests warmly and professionally.
  • Manage a multi-line phone system, routing calls and taking detailed messages.
  • Triage urgent phone calls and instantly route them to the appropriate clinical supervisors.
  • Maintain a clean, welcoming, and organized front desk and lobby area.
Records Management & Filing
  • Establish, maintain, and systematically file electronic and physical patient medical records.
  • Organize and archive historical medical records in accordance with retention schedules.
  • Audit physical and digital charts to ensure all required documentation is present and completed.
  • Retrieve specific patient files promptly upon request for audits or clinical review.
Administrative Support
  • Process new patient referrals and accurately input demographic data into the agency database.
  • Verify health insurance eligibility, including Medicare, Medicaid, and private commercial plans.
  • Monitor tracking logs to ensure physician orders and plans of care are signed and returned.
  • Perform clerical duties including scanning doctor orders, faxing documents, and sorting incoming mail.
  • Maintain strict confidentiality of all patient files in compliance with HIPAA privacy laws.
Qualifications & Skills
  • Experience: Minimum 1–2 years of experience in a medical office, clinic, or home health setting.
  • Filing Skills: Strong organizational skills with a proven track record of handling high-volume data and files.
  • Communication: Exceptional verbal and written communication skills with a compassionate phone demeanor.
  • Tech-Savvy: Proficiency with standard office software (Microsoft Office/Google Workspace) and comfort learning new computer systems.
  • Education: High School Diploma or equivalent required.
  • Bilingual:  English & Spanish.
  • Transportation:  Must have a valid driver's license, insurance and vehicle.

Compensation: $18.00 per hour
